Your Unified Communication Hub

The Inbox brings all your communications into one place. Manage emails, SMS messages, and call history without switching between apps. Every conversation is automatically linked to contacts and deals.

Email Management

Email Threads

Your emails are organized into conversation threads, just like Gmail. Each thread shows:

  • Subject line and participants
  • Last message preview
  • Date and time of last message
  • Unread indicator
  • Deal indicator (if linked to a deal)

Search Emails

Use the search bar to find emails by:

  • Subject line keywords
  • Sender or recipient names
  • Email addresses
  • Message content

Press Enter to search, or click the X to clear your search.

Refresh

Click the refresh button to check for new emails. The inbox also automatically refreshes every 60 seconds when the tab is active.

Reading and Replying to Emails

Click a Thread

Click any email thread in the list to open it. The full conversation appears on the right side.

View Full Thread

See all messages in the conversation, with the most recent at the bottom. Each message shows the sender, timestamp, and full content.

Reply or Compose

Use the compose area at the bottom to reply to the thread. Your reply will be sent from your connected email account.

Automatic Contact Linking

Ralivi automatically checks if email participants exist in your contacts. When viewing a thread, you'll see:

Missing Contacts

If someone in the thread isn't in your contacts, you'll see a prompt to add them. Click to create a new contact with their email pre-filled.

Contacts Without Deals

If a contact exists but has no deals, you'll see a prompt to create a deal. This helps you track opportunities without missing them.

Linked Contacts

When contacts are already in your system, you'll see their name and company. Click to view their full profile.

Multiple Email Accounts

If you've connected multiple email accounts (Gmail, Outlook, or both), you can:

View All Accounts

By default, the inbox shows emails from all connected accounts in one unified view.

Filter by Account

Use the account dropdown to filter emails from a specific account. The count shows how many emails are in each account.

SMS Messages

If you have Twilio SMS capability enabled, the SMS tab lets you send and receive text messages:

SMS Conversations

SMS messages are organized by phone number, showing:

  • Contact name (if linked)
  • Phone number
  • Last message preview
  • Timestamp
  • Unread indicator

Sending SMS

  1. Click an SMS conversation to open it
  2. Type your message in the compose box
  3. Press Enter or click Send
  4. Messages are sent from your Twilio number

Note: SMS capability requires Twilio integration. Contact your administrator to enable this feature.

Call History

If you have Twilio voice capability enabled, the Calls tab shows your call history:

Call Records

Each call record shows:

  • Contact name and phone number
  • Call direction (inbound or outbound)
  • Date and time
  • Duration
  • Call status (completed, missed, etc.)

Call Notes

Click any call to add notes about the conversation. These notes are saved with the call record and visible to your team.

Call Recordings

If call recording is enabled, you can play back recordings directly from the call history.

Note: Voice capability requires Twilio integration. Contact your administrator to enable this feature.

Best Practices

Create Contacts Promptly

When you see prompts to add missing contacts, do it right away. This ensures all future communications are automatically tracked.

Link Conversations to Deals

When you see opportunities in email threads, create deals immediately. This helps you track the opportunity and get relevant suggestions.

Use Search Effectively

Instead of scrolling through hundreds of emails, use search to find specific conversations quickly.

Add Call Notes

After every call, add notes about what was discussed. This creates a valuable record for you and your team.

Keep Inbox Clean

Respond to important emails promptly. The inbox automatically refreshes, so you'll always see the latest messages.

Troubleshooting

Emails not appearing

  • Click the refresh button to check for new messages
  • Verify your email account is still connected in Settings
  • Check if you're filtering by a specific account
  • Clear any active search queries

Can't send emails

  • Ensure your email account is connected and authorized
  • Check your internet connection
  • Try disconnecting and reconnecting your email in Settings

SMS or Calls tab not showing

  • These features require Twilio integration
  • Contact your administrator to enable SMS or voice capability
  • Check Settings to verify Twilio phone numbers are configured
