Connect Your Calendar

Connecting your calendar to Ralivi brings all your meetings and events into your CRM. Schedule meetings directly from contact and deal pages, and automatically track all customer interactions.

Connecting Google Calendar

Go to Calendar Settings

Navigate to Settings → Calendar Integration in Ralivi.

Click "Connect Google Calendar"

Find the Google Calendar option under "Connect Calendar" and click the button.

Sign in with Google

You'll be redirected to Google's sign-in page. Choose the Google account you want to connect.

Grant Permissions

Ralivi will request permission to:

  • Read your calendar events
  • Create and edit calendar events
  • Access event details (title, attendees, time)

Click "Allow" to grant these permissions.

Start Scheduling Meetings

You'll be redirected back to Ralivi. Your Google Calendar is now connected! Go to the Calendar page or any contact to schedule meetings.

Connecting Outlook Calendar

Go to Calendar Settings

Navigate to Settings → Calendar Integration in Ralivi.

Click "Connect Outlook Calendar"

Find the Outlook Calendar option under "Connect Calendar" and click the button.

Sign in with Microsoft

You'll be redirected to Microsoft's sign-in page. Enter your Outlook/Microsoft 365 credentials.

Grant Permissions

Ralivi will request permission to:

  • Read your calendar events
  • Create and edit calendar events
  • Access event details

Click "Accept" to grant these permissions.

Start Scheduling Meetings

You'll be redirected back to Ralivi. Your Outlook Calendar is now connected! Go to the Calendar page or any contact to schedule meetings.

Using Calendar Integration

Schedule from Contacts

When viewing a contact:

  1. Click the "Schedule Meeting" button
  2. Fill in meeting details (title, time, duration)
  3. The contact is automatically added as an attendee
  4. The meeting is created in your calendar and Ralivi

Schedule from Deals

When viewing a deal:

  1. Click "Schedule Meeting" in the deal sidebar
  2. All deal contacts are automatically added as attendees
  3. The meeting is linked to the deal for tracking
  4. Meeting notes can be added after the call

Calendar View

The Calendar page shows:

  • All your upcoming meetings
  • Which contacts and deals are involved
  • Meeting details and attendees
  • Quick access to join video calls

Managing Visibility

Control who on your team can see calendar events from each connected account:

All Members (Default)

By default, all team members can see calendar events. This is best for team collaboration and visibility into who's meeting with whom.

Specific Members Only

Restrict access to specific team members. Useful for:

  • Personal calendars
  • Executive meetings
  • Sensitive client discussions
  • Department-specific events

To change visibility: Go to Settings → Calendar Integration, find the account, and click "Visibility" to manage access.

Automatic Activity Tracking

When you schedule a meeting through Ralivi:

Automatic Logging

The meeting is automatically logged as an activity on the contact and deal timelines.

Contact Linking

Attendees are automatically linked to the meeting, so you can see all meetings with each contact.

Meeting Notes

Add notes after the meeting to capture key discussion points and next steps.

Disconnecting a Calendar

If you need to disconnect a calendar account:

  1. Go to Settings → Calendar Integration
  2. Find the account under "Connected Calendars"
  3. Click "Disconnect"
  4. Confirm the disconnection

Note: Disconnecting will stop syncing new events, but existing meeting history in Ralivi will remain visible.

Security & Privacy

OAuth 2.0 Authentication

Ralivi uses industry-standard OAuth 2.0. We never see or store your calendar password.

Encrypted Storage

All calendar data is encrypted in transit and at rest. Your meeting information is secure.

Revocable Access

You can revoke Ralivi's access at any time through your Google or Microsoft account settings.

Troubleshooting

Connection failed or timed out

  • Make sure pop-ups are enabled in your browser
  • Try using an incognito/private window
  • Clear your browser cache and cookies
  • Check your internet connection

Events not syncing

  • Check if the account is still connected in Settings
  • Refresh the calendar page
  • Wait a few minutes - sync can take time
  • Try disconnecting and reconnecting the account

Can't create meetings

  • Verify the account is still connected
  • Check if you have permission to create events
  • Try disconnecting and reconnecting to refresh permissions
  • Contact support if the issue persists
