Missing Contacts or Deals

Data Not Appearing

If contacts, deals, or other data are missing from Ralivi, follow these steps to locate and recover them.

Missing Contacts

Check Search and Filters

Make sure you're not filtering out the contacts:

  • Clear any active search queries
  • Remove filters (tags, status, date added)
  • Check if you're viewing "All Contacts" not a subset
  • Try searching by email or phone number

Check Organization

If you're part of multiple organizations:

  • Click the organization switcher in the top left
  • Verify you're viewing the correct organization
  • Contacts are organization-specific
  • Switch organizations to find contacts in other workspaces

Contact Not Created Yet

Ralivi creates contacts automatically from emails, but this requires:

  • Email integration to be connected
  • At least one email exchange with the person
  • Email sync to be working properly

If the person hasn't emailed you yet, create the contact manually using the "New Contact" button.

Duplicate Contacts

If you have duplicate contacts, the one you're looking for might be under a different name or email. Use the search function to find all variations, then merge duplicates if needed.

Missing Deals

Check Pipeline Stage

Deals might be in a different stage than expected:

  • Scroll through all pipeline stages
  • Check "Closed Won" and "Closed Lost" stages
  • Use the search bar to find deals by name
  • Filter by contact or company name

Check Deal Filters

Remove any active filters:

  • Clear date range filters
  • Remove value filters (deal amount)
  • Clear owner filters (assigned to)
  • Reset to "All Deals" view

Deal Not Created

Deals are not created automatically. You need to:

  • Manually create deals using "New Deal" button
  • Or accept suggestions from the Action Board
  • Or create from a contact's profile

If you expected a deal to be created automatically, check the Action Board for suggestions to create it.

Check Organization

Like contacts, deals are organization-specific. Use the organization switcher to check if the deal is in a different workspace.

Missing Email History

Check Email Sync

If emails are missing from contact or deal timelines:

  • Verify email integration is connected
  • Check if sync is working (Settings → Email Integration)
  • Wait for initial sync to complete (can take 10-30 minutes)
  • Try manually refreshing the inbox

Email Not Linked

Emails are automatically linked to contacts by email address. If not linked:

  • Verify the contact has the correct email address
  • Check if the email came from a different address
  • Add additional email addresses to the contact if needed
  • Manually link emails from the inbox if necessary

Historical Emails

Ralivi syncs recent emails when you first connect. Very old emails (over 6 months) may not be synced. If you need older history, check your email provider directly.

Missing Calendar Events

Check Calendar Connection

Verify Google Calendar is connected:

  1. Go to Settings → Calendar Integration
  2. Check connection status
  3. Reconnect if needed
  4. Refresh the calendar page

Event Not Linked to Contact

Events appear on contact timelines when:

  • The contact's email is in the event attendees
  • The event is manually linked to the contact
  • The event is created from within Ralivi

If an event should be linked but isn't, add the contact's email to the attendees in Google Calendar.

Data Deleted by Mistake

Accidental Deletion

If you accidentally deleted a contact, deal, or other data:

  • Contact support immediately - we may be able to recover it
  • Provide the name and approximate deletion date
  • Recovery is possible within 30 days of deletion
  • After 30 days, data is permanently removed

Team Visibility Issues

Private Data

Some data might be private to specific team members:

  • Email accounts can have restricted visibility
  • Deals can be assigned to specific owners
  • Check with your team admin about access permissions

Check Your Role

Your role in the organization determines what you can see. If you need access to more data, ask an admin to adjust your permissions in Settings → Team Management.

Demo Mode Data

Demo vs Real Data

If you're in demo mode, you're seeing sample data, not your real data:

  • Look for a "Demo Mode" banner at the top of the page
  • Click "Exit Demo" to return to your real data
  • Demo data is separate and won't affect your actual CRM
  • Connect your email to start seeing real data

Import Issues

Import Failed

If you imported data but it's not showing:

  • Check if the import completed successfully
  • Look for error messages in the import history
  • Verify the CSV format matched the template
  • Check if required fields were included

Partial Import

Some rows may have failed during import. Check the import summary for details on which records were skipped and why. You can fix the issues and re-import those records.

Still Can't Find Your Data?

If you've tried these steps and still can't locate your data, contact support with:

  • What type of data is missing (contacts, deals, emails)
  • When you last saw the data
  • Any recent changes you made
  • Screenshots if helpful
